A few years ago, getting the WhatsApp Business API meant long applications and weeks of waiting. Today, with Meta's Cloud API and its Embedded Signup, most businesses can connect a number in minutes — if they have the right things ready.

This guide walks through what you need and what happens at each step.

First: do you need the API?

The free WhatsApp Business app works well for one or two people answering chats. The API is for businesses that need a shared team inbox, campaigns to opted-in customers, automation, or messages sent from a website or CRM. If you are unsure, read WhatsApp Business app vs API first.

What you need before you start

1. A phone number you can dedicate

This is where most problems come from.

  • The number must not be active on any WhatsApp account — not WhatsApp Messenger, not the WhatsApp Business app. A number on the API cannot be used in the app at the same time.
  • You must be able to receive an SMS or voice call on it during sign-up, for a one-time code.
  • It must be a number your business controls — not an employee's personal phone.
  • Landlines work, as long as you can answer the verification call.

You have two choices:

  • Use a fresh number — a new SIM, a landline or a toll-free number. The cleanest option.
  • Move your existing number — first export any chats you need, then delete the WhatsApp account on that number from inside the app, wait a few minutes, and connect it to the API. Chat history in the app does not move across.

2. A Facebook login

Sign-up goes through Meta's own window and needs a personal Facebook account to log in. Your personal profile is not shown to customers.

3. A Meta Business Manager (Business Portfolio)

If you do not have one, you can create it during sign-up. Your WhatsApp Business Account (WABA) is created inside it, belongs to you, and stays yours even if you change WhatsApp platform later.

4. Your business details

  • Legal business name, as registered
  • Business category
  • A website (Meta asks for it during business verification)
  • Business email and address

5. A display name

The name customers see. It must relate to your business. Meta rejects generic names or categories such as "Best Offers Daily". Use your real business name.

The sign-up, step by step

On a platform that uses Meta's Embedded Signup, such as ONPAD, the flow looks like this:

  1. Choose to connect WhatsApp in the platform, and pick the Cloud API option.
  2. Log in to Facebook in Meta's window.
  3. Select or create your Business Portfolio and WhatsApp Business Account.
  4. Enter the phone number and display name.
  5. Verify the number with the code Meta sends by SMS or voice call.
  6. The platform completes registration with Meta. When the window closes, your number shows as connected.

Your Facebook password goes only to Meta, never to the platform.

Common errors and fixes

ProblemUsual causeFix
"Number already registered on WhatsApp"Still active in the WhatsApp appDelete the WhatsApp account on that number, wait a few minutes, retry
Code never arrivesSMS from international senders blockedUse the voice call option
Display name rejectedName too generic or unrelatedUse your registered business name
Business not shown in the listLogged in as someone without admin accessLog in with an admin of that Business Portfolio
Number shows "Pending" in MetaSign-up closed before registration finishedComplete registration from the platform, or reconnect

What you do not need

  • A verified badge to start messaging. That is a separate application later.
  • Business verification to send your first messages. Unverified businesses can message a limited number of customers so they can test; verification raises the limit.
  • A developer. The connection is a series of screens.
  • To buy a number from your platform. You bring your own.

After you connect

  1. Complete your WhatsApp business profile — description, address, website, category and logo. Customers see this.
  2. Create your first templates. You need an approved template to message anyone who has not messaged you in the last 24 hours. See why templates get rejected.
  3. Send yourself a test message before messaging customers.
  4. Set up billing with Meta, including INR billing if you are in India. See the INR billing deadline.
  5. Import contacts who expect to hear from you. Messaging people who never opted in quickly damages your quality rating.

Connect your number with ONPAD

ONPAD uses Meta's official Embedded Signup, so you connect your own number in a few screens, keep full ownership of your WhatsApp Business Account, and get a shared inbox, campaigns and automations on top. The full walkthrough is in our connect WhatsApp guide.
